Fulfillza Privacy Policy

1. Our role and the businesses using Fulfillza

We handle account administration, service communications, billing, security, and website inquiries for our own business purposes. When a merchant or prep center submits customer, employee, order, or shipment information, we process that information on its behalf to provide the requested services. That business determines how it uses the information and is responsible for its notices, permissions, and instructions.

Merchants, prep centers, marketplaces, carriers, and payment providers may also process information under their own privacy policies. A shopper with a question about a purchase should contact the merchant first; we can assist with requests concerning information held in Fulfillza.

2. Information we collect and its sources

• Accounts and business contacts: names, business names, email addresses, phone numbers, business or warehouse addresses, user roles, account identifiers, and authentication information provided during registration and account management.
• Warehouse and fulfillment records: product names, SKUs, inventory quantities, orders, recipient names, shipping addresses, contact details supplied for delivery, tracking numbers, carrier information, returns, service records, and uploaded documents, images, spreadsheets, and shipping labels.
• Connected platforms: store domains, seller or store identifiers, authorization tokens, granted permissions, product and inventory information, and order or fulfillment information available through an authorized integration. The information available depends on the platform, permissions, and enabled features.
• Payments: billing contacts, invoices, credits, transaction identifiers, payment status, and limited payment-method details such as brand, bank name, and last digits. Stripe processes card and bank-account details. Fulfillza does not store full card numbers, bank-account numbers, or card security codes entered into Stripe's payment forms.
• Support and website inquiries: messages, contact information, attachments, and other information you choose to send us.
• Technical and activity records: IP addresses, browser and device information, request times, login and security events, application errors, and records of actions taken in the service. These may be collected by the application and hosting infrastructure.

Information comes from users, authorized merchants and prep centers, connected marketplaces, payment and shipping providers, and use of our website and service. Please avoid uploading sensitive information that is not needed for the requested work.

3. Shopify and other marketplace information

When you connect Shopify, Fulfillza receives your store identifier, authorization credentials, and the permissions you approve. Depending on approved access and the features you use, we may retrieve product and inventory records, orders, fulfillment records, and customer information needed for delivery, including names, shipping addresses, email addresses, and phone numbers. We use this information to support inventory and fulfillment work requested by the merchant and its prep center, and to send authorized inventory or fulfillment updates where that functionality is enabled.

Other marketplace connections, including Amazon, operate within the permissions granted for the connected account. Permission to access data does not mean every available field is collected or every integration feature is enabled.

Fulfillza's warehouse integration does not require installing advertising pixels on shoppers' storefront browsers. Shopper information generally reaches us through the merchant, its prep center, or an authorized platform connection rather than through direct tracking of storefront browsing.

You can revoke an integration's access through the connected platform's app settings. Revocation stops access using that authorization; it does not itself erase previously created warehouse, shipment, or billing records. Contact us and your prep center to request deletion of retained information.

4. How we use information

We use information to create and administer accounts; provide warehouse, inventory, receiving, fulfillment, shipping, and return workflows; process payments and billing records; communicate about service activity; respond to support requests; troubleshoot and improve reliability; protect accounts and prevent fraud or misuse; and meet legal obligations or resolve disputes.

We do not sell personal information or use merchant customer information for targeted advertising. Customer information supplied for fulfillment is used to provide and protect the service and meet related legal obligations.

Where applicable law requires a legal basis, we rely on performance of our agreements, legitimate interests in operating and securing the service, compliance with legal obligations, or consent where required. For information processed on a business's behalf, that business is responsible for establishing the appropriate basis.

5. Who receives information

Information is available to authorized users of the relevant merchant or prep-center account according to their role and assigned access, and to Fulfillza personnel who need it for support, operations, or security.

We share information as needed with providers that host or operate the service, deliver communications, process payments (including Stripe), generate shipping labels or provide carrier and tracking services, and perform authorized marketplace integrations. For example, buying a shipping label sends the delivery information to the selected shipping provider.

We may disclose information when reasonably necessary to comply with law or valid legal process, investigate fraud, protect rights and safety, or obtain professional advice. Information may also be transferred in a merger, acquisition, or sale of the business, subject to applicable privacy obligations.

6. Cookies and browser storage

Fulfillza uses session cookies and related browser storage for functions such as keeping users signed in, protecting requests, and remembering interface preferences. Hosting and payment providers may use their own technologies when you interact with their services. You can manage cookies through your browser; blocking essential cookies can prevent sign-in or other features from working.

7. Retention and deletion

We retain account and operational information while it is needed to provide the service, follow authorized business instructions, complete fulfillment and returns, or resolve billing and support matters. The retention period depends on the record's purpose, the account relationship, outstanding transactions, and applicable legal requirements; there is no single period for every record.

Following closure, disconnection, or a deletion request, we assess which records can be deleted or de-identified and which must be retained. Limited records may remain for accounting and tax requirements, payment disputes, fraud prevention, security, or legal claims. Backup copies may remain until the relevant backup is replaced or expires. Retained information remains subject to this policy.

To request deletion, contact admin@fulfillza.com and identify your account or store and the records concerned. We may need to verify your identity or authority and coordinate with the merchant or prep center. We explain applicable exceptions where a request cannot be fulfilled and respond within the periods required by applicable law.

8. Security and international processing

We use safeguards such as authenticated access, role and account access controls, encrypted web connections, and protected integration credentials to help secure information. No system or method of transmission can guarantee absolute security. Keep your credentials private and promptly report suspected unauthorized access.

Information may be processed outside your country by Fulfillza or the service providers involved in hosting, payments, marketplaces, or shipping. Applicable protections depend on the processing location and service relationship. Contact us for information about processing locations and any transfer safeguards relevant to your account.

9. Your choices and privacy rights

Depending on where you live and the applicable law, you may request access, correction, deletion, or a portable copy of your personal information; object to or restrict certain processing; withdraw consent where processing relies on it; or complain to your privacy regulator. You may also have a right to appeal a decision about a request. Contact us at admin@fulfillza.com to exercise these rights or request an appeal. We do not discriminate against people for exercising applicable privacy rights.

For information controlled by a merchant or prep center, we may direct your request to that business and assist it in responding. Please do not include passwords, access tokens, full payment details, or unnecessary sensitive documents in your request.

10. Children and policy changes

Fulfillza is a business service and is not directed to children. If you believe a child has provided personal information directly to us, contact us so we can investigate.

We may update this policy as our practices or services change. The effective date above identifies the current version. Where required, we provide additional notice of material changes.
